The problem

What goes wrong on a transport operation.

The same patterns show up in nearly every haulier, 3PL and contract-logistics operator that hasn’t consolidated — and at least one of them is yours.

A transport office worker pins a phone under her chin and chases a van by ringing the driver off a paper run-sheet.

No live fleet visibility

Customers ring asking where their load is. Traffic managers ring the driver. Account managers field calls instead of growing accounts. Slips become SLA breaches because nobody saw them coming.

A planner hand-builds the day’s routes on a magnetic whiteboard with magnets and a paper road atlas open on the desk.

Routes hand-built every shift

Whiteboard, spreadsheet and local knowledge. Two-to-three hours per planner, per shift — with no capacity check, no rest-hour rule and no real cost optimisation in the loop.

A transport desk worker squints up at a wall clock while running a finger down a long printed delivery list to guess arrival windows.

ETA promises are guesses

Booked windows quoted from gut feel. Geo-fence breaches and exceptions noticed after the customer complains. Re-attempts cost a slot the next day — and the relationship the day after.

A transport clerk frowns at a scrawled note about a subcontracted job, cross-checking it against two printed rate spreadsheets that don’t line up.

Subcontracting is a blind spot

Customer rate sits in one spreadsheet, carrier rate in another. Subcontractor invoices reconcile by hand, weeks late. Per-carrier margin only shows up at year-end — if at all.

How RouteMagic solves it

One platform, order intake to signed POD.

Transport-management and logistics software built for the operator running the freight — not a freight-forwarding tool with delivery bolted on.

Planning scene

Tour, run & leg planning

A pile of orders becomes an optimised, drag-and-drop plan in minutes. The plan stays capacity-aware, rest-hour aware and cost-aware throughout.

  • Optimised sequence + resources
  • Multi-day rest-hour plans
  • Drag & drop override the optimiser

How Covetrus cut delivery delays by 87% on a next-day promise.

Before RouteMagic, Covetrus Ireland ran its next-day delivery operation on paper run-sheets, manual spreadsheets and signed dockets returned days after the drop. With RouteMagic, every one of the 25 vans now runs the driver app: routes dispatch from the Back-Office, the Route Monitor tracks the fleet live, and every stop captures an electronic POD — signature, photos, geo-stamp — the instant it’s done. Exceptions flag on the map for dispatchers to act on; customer notifications fire automatically; the audit trail is fully digital and searchable.

Manual vs. RouteMagic

Where a manual transport desk leaks — and how we run it tight.

Capability Manual / spreadsheet stack RouteMagic TMS
Plan build time 2–3 hours per planner, per shift. Optimised plan in minutes; drag-and-drop overrides.
Fleet visibility Phone calls to drivers; status reads guessed. Live GPS on Route Monitor; per-stop drill-down.
ETA accuracy Quoted from gut feel; breaches found after the fact. Live ETA Arrivals Board, refreshed without reload.
POD trail Paper dockets returned end-of-day — or later. Digital signature + photos, geo-stamped at the drop.
Subcontractor margin Reconciled by hand, weeks late, visible at year-end. Per-order, per-carrier P&L — live on the report.
Invoice trigger Whatever paperwork makes it back to accounts. Pending → Approved POD gate; only clean PODs invoice.

FAQ

Questions a transport buying committee actually asks.

The ones we get asked most. Book a walkthrough for anything else.

What is transport management software?

Transport management software (a TMS) runs the transport day on one platform — order intake, tour planning, route optimisation, live ETAs, signed PODs and subcontractor reconciliation, for hauliers and 3PLs. RouteMagic covers it order intake to signed POD, then syncs straight to your accounts package.

How does a TMS differ from an ERP?

A TMS is the transport-execution layer — it plans the runs, tracks the fleet, captures the PODs and reconciles subcontractors. An ERP runs the wider business (finance, stock, purchasing). RouteMagic does the transport execution and syncs the results — invoices, payments, credit notes — two-way into your ERP or accounts package, rather than replacing it.

Is SAP a TMS?

SAP TM is an enterprise transport module aimed at large, complex shippers. RouteMagic is an operator-grade TMS built for hauliers and 3PLs who need to plan, track, prove delivery and reconcile subcontractors without an enterprise rollout — and it connects to the accounting or ERP package you already run.

What is the best transport management software for hauliers and 3PLs?

The right fit is the system that runs your day end to end — order intake to signed POD — and shows subcontractor margin live, not at year-end. That order-to-invoice plus per-carrier reconciliation angle is where RouteMagic out-specifies fleet-led or freight-forwarding tools. Book a walkthrough on a depot shaped like yours to compare it against your current stack.

Do you handle route planning, or just transport management?

Both — the optimiser sequences stops, groups runs and respects every fleet constraint inside the TMS. If you want the optimisation engine in depth, see our route planning and optimisation software.

How does the route optimiser work?

Given stops, service windows and the available fleet, the optimiser sequences the stops, groups them into runs and estimates driving time and distance. Planners get a proposed plan they can accept, tweak or override. Multi-day plans honour distance, time, driver availability, vehicle capacity and rest-hour rules.

Can we still override the optimiser?

Yes — drag-and-drop on the planner board. Local knowledge often beats the optimiser on edge cases; the system gives you a starting point, not a mandate.

How is “where is my load?” handled?

The Route Monitor and ETA Arrivals Board give traffic managers and customer service a live view: every active stop, projected arrival time, status colour-coded, drill-down per stop. ETAs update without refresh as drivers progress.

How do subcontracted runs work end-to-end?

Mark the order or leg as subcontracted and assign the carrier. The customer rate and subcontractor rate stay distinct. After the work is completed and POD’d, a Subcontractor Invoice is raised — standard, self-bill or extras-only — and per-order, per-carrier margin shows up on the Subcontract Profitability Report.

Does the driver app work offline?

Yes — full run cached locally, navigation, signature, photo, notes and exceptions all work offline. Sync on reconnect with no conflicts. We’ve validated routes that go four hours without coverage.

Which accounts package do you integrate with?

Native two-way sync with Xero, QuickBooks, Sage 50, Sage 200, Tally, Zoho Books and Microsoft Dynamics 365. Custom: anything with a REST API.

Can the ETA board feed our customer portal?

Yes — ETAs are exposed through the API; most customers either embed the live view in their own portal or use ours under their brand.
