The problem

What goes wrong when delivery proof still lives on paper.

The same leaks show up in almost every delivery operation that hasn’t replaced paper PODs — and at least one of them is yours.

A depot coordinator holding up a scrawled, illegible paper delivery docket against a messy stack of carbon-copy PODs.

Disputed deliveries you can’t defend

Customer claims the case never arrived. No signature, no photo, no geo-stamp on your side — the credit gets raised, the cash never comes back.

A driver back at the depot tipping a thick wad of crumpled paper delivery notes out of a bag onto an admin desk.

Invoice lag from POD paperwork

Paper PODs sit in a driver’s bag until they’re back at the depot. Re-keying delays the invoice run; DSO creeps up; customers pay what they’ve been billed — and they haven’t.

A driver at the rear of a refrigerated van holding a clipboard with a blank paper docket, unable to record a chilled crate or a dented carton.

No chain of custody for fragile or regulated goods

Cold-chain breaches go unrecorded. Damaged-on-arrival stock has no photo. Pallet returns, crate counts and substitutions live in the driver’s head until someone asks.

A depot worker crouched at an open filing cabinet drawer crammed with box files and bundles of paper PODs, digging for six months of records.

Audit requests that take days to answer

The auditor asks for six months of PODs. You ask the depot to dig through filing cabinets. Two of the boxes are missing. The regulator is still waiting.

How RouteMagic solves it

One app, every drop captured, every PDF dispatched.

A mobile-first ePOD system purpose-built for the doorstep, not a desktop dispatch tool retrofitted onto a phone.

At the door scene

Capture at the door

On the driver’s proof of delivery app, every drop captures a signature on glass, photo, geo and time — online or off. The dispute argument ends the moment the proof lands in the customer’s inbox.

FAQ

Questions you were going to ask anyway.

The ones that come up most often. Book a walkthrough for anything else.

What is electronic proof of delivery (ePOD)?

Electronic proof of delivery (ePOD) replaces the paper delivery note — at each drop the driver captures a signature, photos, geo-stamp and delivery condition, and a digital delivery note is generated and emailed automatically. The result is an audit-ready record you can pull up for any dispute.

Can drivers record cash or cash-on-delivery payments at the drop?

Yes — drivers log cash and cash-on-delivery against the stop as they confirm the drop, so the proof and the payment are captured together (useful where cash on delivery is still common). Full door-side selling, pricing and cash reconciliation live in van sales software.

What’s the difference between an ePOD system and delivery management software?

An ePOD system captures the proof at the door — signature, photos, geo-stamp and the delivery note — and keeps it audit-ready. Delivery management software is the wider operation around it: orders, routing and dispatch through to the cash. RouteMagic ePOD is the proof-of-delivery layer; for the order-to-cash side, see our delivery management software, plan the round with route planning software, and watch the vans live with fleet tracking software.

What happens when the drop has no signal?

Everything works offline — signature, photo, geo, timestamp. Records sign locally and sync on reconnect, with no conflicts. We’ve validated routes that go hours without coverage.

What if the customer refuses to sign?

The claused-delivery flow lets the driver mark the drop as accepted-with-clause or refused, with a reason code and photo. The PDF delivery note still goes out — stamped accordingly — and a credit-note draft is auto-prepared back-office.

How do we handle partial deliveries?

Line-level accept / partial / reject with reason code, photo and comment. The invoice splits cleanly; a credit-note draft is auto-prepared for any rejected lines.

Can we white-label the PDF delivery note?

Yes — customer logo, terms, footer and sequence number. Per-customer templates supported, including your existing delivery-note numbering.

Which accounts package syncs with ePOD records?

Native two-way sync with Xero, QuickBooks, Sage 50, Sage 200, Tally, Zoho Books, NetSuite and Microsoft Dynamics 365. Custom: anything with a REST API.

Is ePOD bundled with other RouteMagic licences?

Yes — ePOD is bundled with Van Sales and Wholesale Distribution licences. A standalone ePOD tier is available for ePOD-only deployments.
