One stock ledger across every warehouse, van and consignment shelf — with batch and FIFO/FEFO, catchweight, returnable-asset deposits, serial tracking and recall-ready traceability.

The same patterns show up in every distribution operation that hasn’t closed the stock loop — and at least one of them is yours.
Trust-based loading, eyeballed counts, ad-hoc returns. Industry-typical 4–14% shrinkage walks off the van between depot and doorstep — and nobody can say where.
Stock ships in receipt order, not expiry order. A recall lands and the trail goes cold; finance writes off the short-dated batch the audit finds next quarter.
Crates, dollies, kegs and CO₂ cylinders ride on trust until someone notices the float is down. Industry crate loss runs 2–8% — every lost asset is replacement capex.
Batteries, ECUs, EV packs and electronics — high-ticket, serialised, regulated, exchange-cored. Without unit-level tracking, the warranty trail goes cold the moment the box leaves the depot.
Warehouse inventory management software built for sales & distribution: stock control across every warehouse, van and consignment shelf on one live ledger — decremented on every movement, not counted once a quarter.

A perpetual stock control system that replaces the spreadsheet: see every unit across warehouses and vans in one view, decrementing live as orders move. Cycle counts and full stocktakes reconcile in the app, and each bin transaction posts to an append-only ledger you can always audit.

Capture batch and expiry on every receipt and pick, with FIFO/FEFO pushing nearest-expiry first. The recall trail runs end to end, from supplier batch to every customer who received it.

Handle case and each at every step — order, pick, load and invoice. Catchweight prices by actual weight, and up to five barcodes resolve to one SKU.

Track crates, kegs, dollies and CO₂ cylinders on a per-customer deposit ledger. Drivers count them every visit, you recover them on demand, and holding rent posts where it applies.

Serial-number and IMEI tracking follows each high-value unit warehouse to end-user across a four-stage chain. Every status change is logged, so the audit and warranty trail stays intact.

AI demand forecasting feeds replenishment, and shortfall reports show what to reorder before stock runs out. The Inventory Ledger is the audit truth behind every figure.

Stock control at Bits ‘N’ Bobs ran on trust, and the trust was leaking stock no one could trace. With RouteMagic, every transaction, transfer and customer visit now writes to a live ledger; van loads are scanned and locked to the driver; cash captures by denomination; and end-of-day reconciliation became a screen, not a clipboard.

For route-based distribution, the best fit is software that runs one stock ledger across the warehouse, the van and the consignment shelf — not a single-location retail or accounting tool. RouteMagic tracks every unit live across warehouses and vans, with batch/FEFO, returnable-asset deposits, serial tracking and catchweight built in, so the stock that leaves the gate reconciles against what gets sold or paid for.
You can, until the stock loop opens. A spreadsheet has no live ledger, no FEFO discipline and no audit trail, so shrinkage hides and recalls turn into days of archaeology — Bits ‘N’ Bobs were losing 14% of stock a year that way. RouteMagic replaces the spreadsheet with a perpetual stock control system that decrements on every movement.
Cycle counts and full stocktakes run in the app against the live ledger: count a bin, post the variance with a reason code, and the on-hand updates immediately — no quarterly shutdown. Because the ledger is perpetual, counts confirm the figure rather than rebuild it.
Yes — the change applies to new picks; in-flight picks keep their original suggestion. Batch Picking Rule lives under Company Settings → Inventory Settings and can be flipped at any time.
Each product can carry up to five barcodes (entered comma-separated). Any of them scanned at the handheld, warehouse app or driver app resolves to the same SKU — covering OE, supersession, internal and legacy codes. An unknown barcode shows a warning; no silent fallback.
For catchweight-flagged products, actual weight captures at pick (or at the van for variable-weight loads); per-line weight breakdown carries through to the invoice; any catchweight variance against the expected weight flows to a credit note automatically. Enable Weight Breakdown for Catch Weight Products in Company Settings to switch to per-unit captured-weight pricing.
Yes — configure Monthly Deposit Rent per Deposit Item. Rent bills per unit held per month based on the current balance; balances cannot go negative; deactivating a deposit item preserves historical balances but blocks new movements.
Returns reverse the chain one step at a time — the unit moves Retailer → Vehicle → Warehouse, never skipping stages. Each IMEI stays unique across the tenant; deactivating an IMEI-tracked product preserves history so previously-sold units remain traceable for warranty and right-to-repair audit.
Consignment stock sits in a separate location bucket and is not counted as on-hand — ownership only transfers at count-and-invoice time, not at delivery. Drivers count remaining stock at each visit and replenish back to par; the consumed difference invoices automatically. The van side of this — mobile counts, invoicing and cash close — runs in van sales software, and demand forecasting that drives replenishment lives in AI automation & forecasting.
